How we use booking information and your optional physical Hero Card request.

What this policy covers

This policy describes how Sage Hill Bottle Depot handles information used to arrange valet bottle drop-off and to record an optional request for a free physical Hero Card.

Information we use

For bookings, we use the information you provide through the booking service, such as your name, contact details, appointment time and booking status. For a physical Hero Card request, we link the request to the contact associated with your verified booking and retain the request time, a unique request reference and the wording and version of your physical-card consent.

Our booking, website and hosting providers may also process technical information such as IP addresses, browser details and security or delivery logs. Please avoid putting sensitive personal details into appointment notes unless needed for your visit.

Why we use it

Your physical Hero Card choice

Requesting a physical Hero Card is optional. You can book valet drop-off without requesting a card. When you choose to request one, we record the request and mark your contact as having requested a physical card. The request does not say that a card has been reserved, issued or collected, or that you have joined a digital membership.

This request does not enroll you in marketing or change your existing marketing or do-not-disturb preferences. We do not send a separate Hero customer email, Hero SMS or Hero staff notification. The request confirmation appears on the page. An existing ordinary booking confirmation may include the secure link used to access the request.

Counting requests fairly

We count distinct booked contact records with a physical-card request. Repeated requests from the same contact record count once. A person with duplicate contact records may appear more than once. Isolated test contacts are excluded from business reporting.

Service providers and access

We use service providers for booking and contact management, ordinary message delivery, website hosting and the secure request service. These include HighLevel/LeadConnector, Vercel and the depot’s hosted application infrastructure. Access is limited to those who need it to operate and support the service.

Providers may process information outside Canada. The depot can provide further information about its applicable provider locations and practices through the contact below. We do not sell your personal information as part of this request flow.

Cookies and secure links

The secure request uses short-lived cookies to bind a verification to your browser. Cookies are set with security protections and the one-use claim expires after 15 minutes. Opening a link alone does not request a card: you must verify the booking and choose the physical-card request. Booking software may also use its own cookies or storage for calendar functions and attribution.

Do not share your booking verification link. If it has expired or does not work, contact the depot for help. Blocking cookies may prevent the secure flow from working; you can still ask the team about a physical card in person.

Retention and safeguards

We retain booking, request and consent records for as long as they are needed to provide the service, handle questions and maintain necessary business or legal records. We use access controls, secure transport and protected storage appropriate to this information. The short life of a verification link does not mean the related booking or consent record is deleted after 15 minutes.

Questions, access and corrections

You can ask about our handling of your information, request access or correction, or ask to withdraw a physical-card request. We may need to verify your identity. We will explain any applicable limits or effect on the requested service. Changing a physical-card request does not automatically change ordinary booking communications.
